Privacy Policy
Last updated: July 2, 2026. This policy outlines how BotBrain.ai handles customer files, prompt databases, and lead captures.
1. Overview of Data Scope
BotBrain.ai provides client-facing conversational interfaces trained on custom user documents. To deliver these services, we store and index files uploaded to our servers, process prompt requests through LLM endpoints, and aggregate qualified contact details submitted by website visitors.
2. Information We Collect
We process information under three primary categories:
- Company Resources: Documentation uploads (PDFs, DOCX, TXT), pasted FAQ items, and public URL crawls configured by dashboard administrators.
- Lead Entries: Names, email addresses, phone coordinates, and session transcripts submitted by visitors chatting with your active widgets.
- System Logs: IP tracking records, cookie variables (used exclusively for persisting chat sessions), and system diagnostics to optimize service uptimes.
3. Data Protection & Security
Your training data represents proprietary property. We enforce isolation barriers at the database layer to ensure no cross-contamination between client databases.
All files are encrypted at rest using AES-256 standards. Crucially, BotBrain.ai never shares or sells company context data or chat history logs to train generic external AI models.
4. GDPR & CCPA Compliance
We fully comply with global data protection guidelines. From the dashboard panel, you can configure cookie warnings, opt-in checks for lead forms, and trigger complete data purges of documents or lead records at any moment.
5. Contact Us
For concerns, request deletions, or compliance questions regarding our data architecture, please write to our legal team at privacy@botbrain.ai.
